Email infrastructure problems are quiet. They build gradually. A bounce rate creeps up. A domain reputation moves from High to Medium. A blocklist listing appears on a Tuesday night. By the time any of this affects your campaign metrics, the damage has been accumulating for
weeks.
Monitoring changes this dynamic. When you watch the right signals at the right frequency, you catch problems early. Early problems are small problems. Small problems take hours to fix. Late-stage problems take weeks of reputation recovery and restricted sending.

Why Email Infrastructure Needs Continuous Monitoring

Most marketing teams check deliverability reactively. Open rate drops. Someone notices. They investigate. By then, the reputation problem is weeks old.

Proactive monitoring flips this. On Monday, you check your domain reputation and notice it has dropped from High to Medium. After reviewing the previous week’s campaigns, you identify the issue: a re-engagement campaign was sent to an unverified segment. You correct the source before launching the next campaign.

That scenario plays out very differently from the alternative: you discover the problem three campaigns later when your click rate has collapsed, and it takes six weeks to recover.

There is another reason monitoring matters. Email infrastructure has many moving parts. Authentication records can break when a tool is added, or a DNS record expires. A new ESP integration can introduce a sending path not covered by your SPF record. A shared IP pool can accumulate complaints from another sender on the same pool. None of these send you an alert. You have to go looking.

The Four Signal Categories to Monitor

Email infrastructure monitoring covers four distinct categories. Each one requires different tools and different check frequencies.

Category 1: Reputation signals. These tell you how inbox providers currently rate your sending domain and IP. The primary source is Google Postmaster Tools. The secondary source is Microsoft SNDS. Both are free.

Category 2: Blocklist signals. These tell you whether your domain or IP has been listed on a blocklist that affects delivery. MX Toolbox is the standard free tool for this check.

Category 3: Authentication signals. These tell you whether SPF, DKIM, and DMARC are functioning correctly for every send. Postmaster Tools shows pass rates. A test email to mail-tester.com shows the full picture for a specific campaign.

Category 4: ESP-level signals. These are the bounce rates, complaint rates, and delivery metrics your email service provider reports. They are the most visible signals and usually the last ones to reflect a problem.

Use all four categories together. Each one sees something the others miss.

Google Postmaster Tools: Your Most Important Monitor

Google Postmaster Tools is free, built directly by Google, and provides data no third-party tool can replicate. It shows you exactly how Gmail rates your sending domain.

Register at postmaster.google.com. Verify domain ownership by adding a TXT record to your DNS. Data starts populating once you send enough email to Gmail addresses, typically a few thousand emails over a few weeks.

What to Check and How Often

Domain reputation: check every week.

The scale has four levels: High, Medium, Low, and Bad.

High means Gmail delivers your email with maximum trust and minimum friction.

Medium means filtering has begun. A portion of your email is hitting spam folders.

Low means active filtering. Significant portions of your campaigns land in spam.

Bad means severe filtering. Most email from your domain is treated as spam.

Do not wait for Low or Bad to act. When reputation moves from High to Medium, investigate immediately. Find which recent campaign generated elevated bounce or complaint signals. Fix the source before the next send.

Spam Rate: check every week.

This chart shows what percentage of your Gmail-received email users marked as spam. Google’s published threshold for filtering action is 0.10%.

Below 0.08%: clean.

0.08% to 0.10%: warning zone. Investigate recent campaigns.

Above 0.10%: enforcement zone. Reduce campaign frequency to engaged segments only.

Authentication Pass Rates: check every month.

Postmaster Tools shows what percentage of your email passes SPF and DKIM. Both should be above 95%. A drop below 95% means some of your sends are failing authentication checks.

This matters because authentication failures accumulate slowly. You might not see a delivery impact for weeks. But the reputation signal is degrading in the background.

Delivery Errors: check every week.

This chart shows SMTP-level rejections from Gmail’s servers. Look for new error types compared to last week. A sudden appearance of policy-based rejections often signals a blocklist event or a reputation threshold being crossed.

Blacklist Monitoring: The Emergency Signal

Blacklist listings are the most dramatic infrastructure events. They can affect delivery across hundreds of ISPs simultaneously, and they happen without warning.

Spamhaus SBL or DBL listings affect delivery at nearly every major inbox provider. Barracuda listings affect organisations using Barracuda email security appliances common in corporate environments. SURBL listings affect content-filtering systems.

How to Monitor Blacklists

Manual check (monthly minimum): Go to mxtoolbox.com/blacklists.aspx. Enter your sending domain. Then enter your primary sending IP address. The tool checks both against over 100 blocklists at once.

Automated alerts (recommended for any programme above 50,000 monthly sends): MX Toolbox’s paid monitoring plan sends you an email alert within hours of a new listing. The difference between discovering a Spamhaus listing within 4 hours versus discovering it a week later is significant. A week of Spamhaus-affected sends can take months to fully recover from.

What to Do When You Find a Listing

Stop all sends immediately. Go to the listing provider’s website and look up your specific entry. They explain why you were listed. Address the root cause, usually an unverified list that hit a spam trap, or a complaint rate spike from a specific campaign.

Submit a delisting request only after the root cause is resolved. Spamhaus requires you to demonstrate the problem is fixed before they consider removal.

Do not resume full sending until the delisting is confirmed. Start with small volumes to your most engaged contacts only.

Microsoft SNDS: Covering the Outlook Side

Google Postmaster Tools covers Gmail. Microsoft’s Sender Network Data Service covers Outlook.com, Hotmail, and Microsoft 365, a critical audience for B2B programmes.

Register at sendersupport.olc.protection.outlook.com.

SNDS shows your IP’s colour-coded reputation status. Green means acceptable. Yellow means caution; some filtering is occurring. Red means significant filtering or blocking at Microsoft’s mail systems.

When to Check SNDS

Check it monthly as routine maintenance. Also, check it immediately when you notice unexplained delivery problems with corporate recipients who use Microsoft email. For example, if Gmail delivery is normal but corporate Outlook recipients are not responding to campaigns, SNDS data should be your first diagnostic step.

SNDS shows complaint rate data and spam trap hit indicators specific to Microsoft’s infrastructure. These can reveal problems that do not show up in Google Postmaster Tools.

ESP-Level Signals to Watch Weekly

Your email service provider collects delivery data for every campaign. These metrics are visible signals,s but they lag. By the time your bounce rate shows a problem, the reputation damage is already accumulating.

Watch these metrics weekly:

Hard bounce rate per campaign. Target: below 0.5%. Warning: 0.5% to 1.0%. Investigate immediately: above 1.0%.

If one campaign shows elevated bounces, trace the send list back to its source. Where did those contacts come from? When were they last verified? That tells you where to fix the problem.

Complaint rate per campaign. Your ESP may show this under various names: spam complaints, abuse rate, or FBL (Feedback Loop) rate. Target: below 0.05%. At 0.08%, investigate. At 0.10%, take action before the next send.

High complaint rates from specific campaigns usually point to: frequency that exceeded subscriber expectations, content that felt unexpected, or a segment of contacts whose consent was weak. Find the pattern and address the source.

Soft bounce trend. Individual soft bounces are normal. A trend of increasing soft bounces from the same addresses across multiple campaigns signals those addresses are becoming permanently inaccessible. When an address soft-bounces three times in a row without delivering once, treat it as a hard bounce candidate and verify it.

Authentication Monitoring: The Silent Killer

Authentication failures are unique among infrastructure problems. They degrade your reputation silently. Your campaigns still send. They still appear to deliver. But authentication-failing sends generate worse reputation signals than authenticated sends, and the accumulation adds up over weeks.

What to Monitor

SPF pass rate. Check in Postmaster Tools monthly. Also check your SPF record quarterly using mxtoolbox.com/spf.aspx. Confirm the DNS lookup count is below 10. Confirm every ESP and sending tool is included in the record.

DKIM pass rate. Check in Postmaster Tools monthly. Confirm DKIM is signing with your own domain’s key,y not your ESP’s default key. This is the single most common DMARC alignment failure.

DMARC aggregate reports. If you have DMARC configured with a reporting address (rua=), you receive XML reports from inbox providers. Review these monthly. They show every IP that sent email using your domain, and whether those sends passed SPF and DKIM.

DMARC reports often reveal tools in your stack that are sending email using your domain name without proper authentication. These shadow senders are invisible in your ESP dashboard but fully visible in DMARC reports.

How to Build a Monitoring Routine That Sticks

Monitoring only works when it happens consistently. The most common failure is making it optional checking when you have time rather than on a schedule.

The Weekly 15-Minute Check

Set a calendar block every Monday morning for 15 minutes. In that block:

Step 1: Open Google Postmaster Tools. Is your domain reputation still High? Check spam rate is still below 0.08%. Note any changes from last week. (5 minutes)

Step 2: Review your ESP’s campaign reports from the past 7 days. Check hard bounce rate and complaint rate for each campaign sent. Note any that exceeded thresholds. (5 minutes)

Step 3: Check Postmaster Tools delivery errors for any new patterns. (3 minutes)

Step 4: If anything changed from last week, add an action item to investigate before the next send. (2 minutes)

Total: 15 minutes. That is the complete weekly monitoring routine.

The Monthly 30-Minute Check

Once a month, run the deeper maintenance cycle.

Run MX Toolbox blacklist check on your sending domain and primary IP. Check Microsoft SNDS for your IP reputation. Review Postmaster Tools authentication pass rates. Check SPF lookup count. Review your DMARC aggregate reports for any unexpected sending sources.

If you find anything, address it before the next major campaign.

The Quarterly Audit

Every 90 days, run a full authentication audit. Verify that every tool in your sending stack is covered by your authentication records. Confirm your DMARC policy is progressing toward p=reject. Verify your full active list. Review suppression sync between your ESP and CRM.
