A subscriber who signed up for a monthly newsletter and starts receiving daily emails is more likely to mark the email as spam than to find the unsubscribe option, particularly for mobile users where “report spam” is often more accessible than navigating to an unsubscribe link.

Complaint rates above 0.08% begin eroding domain reputation. Above 0.1%, Gmail’s active filtering threshold, deliverability degrades visibly. Frequency-driven complaint accumulation from a relatively small disengaged segment can push an overall complaint rate above threshold even when the majority of the list is genuinely engaged.

How Sending Frequency Affects Domain Reputation

Inbox providers assess domain reputation on a rolling basis. Every send contributes to the reputation signal, not just the most recent one. A consistent pattern of low bounce rates, low complaint rates, and positive engagement builds reputation over time. A consistent pattern of high frequency to disengaged contacts erodes it.

Domain reputation incorporates the engagement ratio: the proportion of delivered emails that generate positive engagement signals (opens, clicks, replies) versus those that are deleted, moved to spam, or ignored.

Higher frequency to a fixed audience with stable engagement divides the positive signals across more sends. If your audience clicks once per month regardless of how often you send, increasing from monthly to weekly reduces your click-per-send ratio by 75%. Inbox providers see a domain generating fewer engagement events per send, which over time reads as declining engagement quality.

This is why frequency increases require audience expansion (adding more engaged contacts) or content quality improvement (generating more engagement events per send), not just increased volume.

The Minimum Frequency Required for List Health

There is also a minimum frequency threshold below which list decay risk exceeds the deliverability benefit of conservative sending:

For B2B lists: Send at minimum every 60 days to any segment you intend to keep active. Longer gaps should trigger email verification before the send.

For consumer lists: Send at minimum every 90 days. Consumer address decay is slower than B2B, but 90+ day gaps still accumulate meaningful decay (5–8%).

For re-engagement campaigns: Verify the segment before sending after any gap exceeding 90 days (B2B) or 180 days (consumer). Send the re-engagement campaign from your normal sending domain only if the verified invalid rate is below 3%. If it exceeds 3%, consider a subdomain for the re-engagement send to isolate any reputation impact.

How to Set Frequency by Audience Segment

Frequency should not be uniform across your list. Different segments tolerate and benefit from different frequencies.

High-Engagement Contacts (Clicked in Past 30 Days)

These contacts are the foundation of your domain’s positive engagement signals. They can receive higher frequency without a disproportionate risk of complaints. Daily sends are appropriate for certain content types (e.g., news, deal alerts). Weekly sends are appropriate for most programmes.

Mid-Engagement Contacts (Clicked 31–90 Days Ago)

These contacts are engaged but cooling. Standard frequency is appropriate weekly to bi-weekly for most programmes. Reducing frequency below standard for this group is premature; they are still active.

Low-Engagement Contacts (Clicked 91–180 Days Ago)

Reduce frequency by 50%. These contacts are at risk. Continuing high frequency generates deletion signals without sufficient click signals to offset them. Lower frequency plus high-value content maximises the probability of re-engagement.

Dormant Contacts (No Click in 180+ Days)

Send at most once per month to this segment. The primary goal is re-engagement, not message delivery volume. One high-quality, high-relevance email per month is more effective than weekly emails at low quality.

Never-Clicked Contacts

These contacts have never clicked anything since joining your list. They may have opened (possibly via Apple MPP), but they have never taken a confirmed action. Treat them like Dormant contacts and verify their addresses before any send.

The Re-Permission Cadence for Inactive Contacts

Contacts who have been dormant for 12+ months need a re-permission touchpoint before returning to active segments at full frequency.

A single re-permission email asking the contact to confirm they still want to receive your communications serves two purposes:

Deliverability purpose: Contacts who click to confirm have demonstrated active inbox monitoring and genuine relationship interest. This is a strong positive engagement signal that helps offset the passive signal from their dormancy period.

List quality purpose: Contacts who do not confirm self-identify as candidates for suppression, saving you from the slow complaint and deletion accumulation of continuing to send to disengaged contacts.

The re-permission email should be sent after email verification has confirmed the address is still deliverable. Send re-permission only to verified valid addresses; the re-permission campaign itself is a send that generates signals, and you want those signals to be clean.

Frequency and Volume Ramp-Up After Gaps

If you have had an extended gap a programme hiatus, a migration delay, a period of technical issues returning to full frequency immediately creates a volume spike that inbox providers treat with the same caution as a new sending identity.

The pattern of suddenly high volume from a domain that has been quiet triggers increased filtering even if the domain has strong historical reputation. The volume ramp-up required after a gap depends on how long the gap was:

  • Gap under 60 days: Return to full frequency immediately
  • Gap 60–90 days: Verify the full list, suppress invalids, then ramp back over 2 weeks
  • Gap 90–180 days: Verify, suppress invalids, start at 30% of normal volume, double every 5–7 days
  • Gap over 180 days: Treat as a partial re-warm-up;p start at 20% of normal volume to highest-engagement contacts only, expand over 4–6 weeks

This ramp prevents the spike pattern that triggers filtering, while the pre-send verification prevents the bounce spike from accumulated decay.
